Quick answer

Airtable vs Notion: the short answer

Airtable and Notion both let non-developers build custom systems from linked data, but they start in different places. Airtable is a relational database with spreadsheet-like interfaces, automation and app-style views, sold per editor in Free, Team, Business and Enterprise Scale plans. Notion is a docs-first workspace with wikis and databases, sold per member from a free plan.

The sources reviewed describe Airtable as the stronger choice for structured, relational data and automation, and Notion as the stronger choice for documents, wikis and AI over workspace knowledge. Notion is cheaper per seat, while Airtable only bills users who edit, so seat counts can narrow the gap.

We compare what independent 2026 sources and the vendors' own pricing support and mark the rest Unknown. Two sources are written by vendors of competing tools. Notion's Business price appears as $15, $18 and $20 in different sources. No winner is declared: the better fit depends on whether your work is data or documents.

Choose Airtable if you
  • Teams that need relational data, linked records and heavy automation
  • Operations, content and agency teams outgrowing spreadsheets
  • Organisations with many read-only stakeholders who should not need paid seats
Choose Notion if you
  • Teams that want docs, wikis and light databases in one workspace
  • Budget-conscious teams that need a free plan with free guests
  • Teams that want AI search over workspace knowledge

All Notion plans and sources

Notion is cheaper per seat at both comparable tiers. Our arithmetic on reported annual prices for 25 members gives about $3,000 a year on Notion Plus ($10 x 25 x 12) and $5,400 on Business at $18 ($18 x 25 x 12), against $6,000 on Airtable Team ($20 x 25 x 12) and $13,500 on Business ($45 x 25 x 12). At Notion's $20 Business figure the total would be about $6,000.

Seat counting changes the picture. Airtable bills only editors, so a 25-person organisation with 8 editors pays for 8 seats ($1,920 a year on Team: $20 x 8 x 12), while Notion bills every full member. Airtable's free tier is capped at about 5 editors and 1,000 records per base, which teams outgrow quickly.

AI placement is contested. Two guides say full Notion AI sits only on Business, so teams that want it should compare Notion Business with Airtable Team. Prices and plan limits change often, so confirm current terms with both vendors.

Considerations

Airtable vs Notion: implementation, ecosystem, AI and security.

Ease of implementation and usability

We did not test setup or migration for either product. Guides describe Notion as having the shallower learning curve and Airtable as demanding database thinking for formulas and linked records. Build one real workflow in each before choosing.

Integrations and ecosystem

Airtable connects through its API, synced databases and tools such as Zapier, with some CRM syncs gated to higher plans. Notion connects through its API and common business tools. Integration depth was not independently verified, so check the specific tools you use.

AI capabilities

Airtable lists AI on paid plans, with Omni AI for building apps and Field Agents. Notion offers AI Q&A across pages and databases, Notion Agent and meeting notes on Business. One guide gives Notion the edge on AI and Airtable on automation. We did not test output quality.

Security, deployment and administration

Airtable lists an admin panel and SAML SSO on Business and sales-led Enterprise Scale. Notion's Business and Enterprise plans add administrative controls per one guide. We did not review certifications or data residency, so request current security documentation.

Strengths and limitations

Airtable and Notion: each option, in balance.

Airtable

Strengths and limitations from the profile

Strengths
  • Billing is per editor, and Airtable states that read-only collaborators, form submissions and share links are not charged on Team or Business.
  • A Free plan and a $20 Team plan let small teams start without a sales conversation, and Business can be bought online.
  • The relational model with several views over the same data is flexible enough to replace a spreadsheet, a tracker and a simple CRM.
  • Limits are enforced gently: Airtable says it will never remove data when you reach record or attachment limits.
  • AI credits and automations are included in the plan structure rather than sold only as separate products.
Limitations
  • Records per base are the most common upgrade trigger: guides report a 50,000 record ceiling on Team, which a busy CRM-style base can reach well before the team grows.
  • Per-editor pricing can become expensive when many people need to edit, and Business costs more than double Team per seat.
  • Hitting record or attachment limits blocks new records until you upgrade, and automation and API limits cap activity at plan level.
  • It is a build-your-own platform, so it needs setup and design time that a purpose-built project tool does not.
  • Enterprise Scale pricing is not published and third-party estimates differ.

Notion

Strengths and limitations from the profile

Strengths
  • A free plan and free guests make it easy for individuals and small teams to start.
  • Full Notion AI is reported as bundled into Business, rather than a separate add-on.
  • Flexible docs, wikis and databases suit teams that want a wiki with a light project layer.
Limitations
  • Every editor is a billed member, so seat counts can grow quickly.
  • Free and Plus include only a limited AI trial, so meaningful AI use needs Business or above.
  • Guides disagree on prices and on how AI is bundled, so budgeting needs a check of the current page.
  • Some guides note that flexible databases are lighter than purpose-built project tools for heavy operations.
Best-fit scenarios

Airtable or Notion: which fits which situation?

No overall winner is declared. The better choice depends on the criteria that matter most to you, so test both against your own requirements.

Switching

Switching between Airtable and Notion.

Moving between Airtable and Notion means exporting bases or databases as CSV, rebuilding relations and rollups, and recreating automations and interfaces. Linked-record structure rarely survives a CSV export. Rebuild one workflow in the other tool before migrating the rest.

General switching checklist
  1. Export a sample of your data and test an import into the other product.
  2. List the automations, integrations and permissions you would need to rebuild.
  3. Pilot with one team before a full cut-over.
  4. Check contract terms and notice periods with both vendors.
